- Dear ( customer ) We wish to inform you that our ( company ) is putting up a booth at the _( exhibition) to display our products and answer any queries regarding the same. Your esteemed presence would be an honour. Venue : Day & Time : PS: you could maybe hire the service of an event management company too, if the situation demands. good luck !
- You probably want something much more personal and motivating, something to grab attention and motivate a committment to come to your booth on purpose and early in the exibit. If these are existing customers telling them that a gift (preferably something ppl in their industry want highly maybe the latest techy toy) has been reserved for them at your booth. Top customers should perhaps even be offered something with their name on it to pick up there or at least their gioft should be wrapped and tagged for them personally. You might also ask them to participate in a pannel of industry leaders or some such while there or have tickets at the booth to an event (lunch, dinner, entertainment) that your co is sponsoring. That would work with top prospects too. For general prospects inviting them to come by and take part in a contest or game is good, combining with non competing exhibits on a scavanger hunt where some piece of the puzzle or retrieved item is at each booth can be a good traffic builder. Even with new prospects make your letter very personal and specific (yes you can do that with a letter that is essentially the same for everyone) Dear (first name unless yours is a business climate where that would be a breech of manners) ____ company is sponsoring a ___ at the ___ exhibition. We have reserved __ for you. Please come by our booth # to pick up yours before. Any not picked up by ___ will be released for general distribution. Dear __ as a leader in the __ industry you know that keeping up on the latest __ gives you an essential edge then tell how visiting your booth will help do this If you are trying to attract new retail consumers vs business customers you'll need a little diofferent approach and mail may not be it or at least a leter vs a different promo piece may not be but if you are going to do a letter make it a card in a greeting card style and envelop...if at all possible have them hand addressed ( 2 high school students or somebody's kids for 4-5 hrs) Mail works only if opened and 80+% or direct mail doesn't get opened. Hand addressed greeting cards do. If the card idea doesn't hit you try post cards at least there is a 30-40 % chance the message will be seen vs less than 20% chance of an envelope being opened and contents read by consumers.
